Overview

LookupFox (“LookupFox,” “we,” “us”) provides a real-time email verification API, a dashboard for managing that API, and a Google Sheets add-on that lets you verify addresses directly from a spreadsheet. This policy explains what data we collect across those products, why we collect it, and how you can control it.

Information We Collect

We collect the following categories of data:

  • Account information. The email address and password you sign up with, used to authenticate you and identify your account.
  • Email addresses you submit for verification. Whether entered directly, sent via the API, uploaded as a bulk list, or submitted from the Google Sheets add-on, the address itself is the input we need to check it.
  • API keys. When you generate an API key, we store its name, a short display prefix, and a one-way cryptographic hash of the key. We never store the full key after the moment it's created — if you lose it, you generate a new one.
  • Usage and verification logs. For each verification, we log the address checked, the result returned, how many credits it used, and a timestamp. This powers your dashboard's usage history and lets us detect abuse.
  • Credit balance. Your remaining credit count, which we update as you verify addresses.

We do not collect or store payment card details. If paid plans are enabled in the future, billing will be handled by a dedicated payment processor that does not share full card numbers with us, and this policy will be updated accordingly.

How We Use Your Information

We use the data above to:

  • Provide the actual verification result you're asking for.
  • Authenticate your account and protect it against unauthorized access.
  • Track and enforce credit balances and rate limits.
  • Show you your own usage and verification history in the dashboard.
  • Investigate abuse, fraud, or violations of our Terms of Service.
  • Respond to support requests you send us.

We do not use the email addresses you submit for verification for any other purpose — not for marketing, not for building lists, not for anything beyond returning your result and logging that the check happened.

Third-Party Email Verification Provider

LookupFox does not perform mailbox-level checks (like SMTP handshakes) itself. To verify an address, we send it server-side to MyEmailVerifier, a third-party email verification provider, which performs the actual check and returns a result. We do not send your account email, password, or any data beyond the address being checked to this provider. We may change verification providers over time; if we do, this policy will be updated to reflect it.

The Google Sheets Add-on

The LookupFox add-on for Google Sheets is built to be narrowly scoped:

  • It only accesses the specific spreadsheet you have open and active when you run it — it does not access, list, or scan any other files in your Google Drive.
  • It reads the email addresses you select or the column you point it at, and sends only those addresses to the LookupFox API for verification.
  • It writes the verification results back into that same spreadsheet. We do not separately store spreadsheet contents, cell data, file metadata, or anything else from your Sheet on our servers — the only thing retained afterward is the same verification log described above (the address checked and the result), identical to what's logged for any other API call.

We do not use data accessed through the add-on for advertising, and we do not transfer it to third parties except MyEmailVerifier, and only to the extent needed to return your verification result, as described above.

LookupFox's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Data Sharing and Sale

We do not sell your personal data, or the email addresses you submit for verification, to anyone. We share data only with the third-party verification provider described above (limited to the address being checked, for the sole purpose of performing that check), with service providers that host our infrastructure (such as our database and hosting providers), and where required to comply with law.

Data Retention

We retain your account information, API keys, and verification/usage logs for as long as your account is active, so that your dashboard, history, and credit balance stay accurate. If you delete your account or request deletion (see below), we delete your account data and verification logs, except where we're required to retain limited records for legal, security, or fraud-prevention purposes.

Data Security

API keys are never stored in plain text — only a one-way hash. Access to our database is restricted to what our application needs to function, and all traffic to LookupFox is encrypted in transit. No system is perfectly secure, but we design for the principle of storing the minimum necessary to run the service.

Your Rights and Choices

You can access, export, or delete your API keys and view your verification history at any time from your dashboard. To request a full export or deletion of your account data, or to ask us anything about what we hold on you, email us at the address below and we'll act on it promptly.

Children’s Privacy

LookupFox is a developer tool intended for business and technical use. It is not directed at children, and we do not knowingly collect data from anyone under 16.

Changes to This Policy

If we make material changes to this policy, we'll update the “last updated” date above. Continued use of LookupFox after changes take effect means you accept the revised policy.
